Understand when/how the bot can join

Pre-meeting:

Who can invite the bot?

  • Any registered Unique user

Where is the bot Auto-Join defined?

  • The bot name and Auto-Join setting is defined at company level

  • However you can override the Auto-Join from you Agenda

How can the bot be invited?

  1. Auto joins scheduled meetings (Outlook or Google Calendar)

    • There must be a meeting link created and at least 1 guest invited (so we do not join personal calendar events)

    • Auto-Join can be set to ON at Company level, or via your Agenda page

    • Bot cannot Auto-Join meetings organised by an external

  2. Manually invited during the meeting ('Q' icon in Teams, Google extension or Desktop version)

    • There can only be one bot in a meeting at the same time

    • Any Unique user can manually invite a bot to join the meeting

During the meeting:

Why can I not see the 'Q' icon in my Teams meeting?

  • If you are joining an externally hosted meeting or you have not installed the Unique app to your profile.

Re-invite the bot...

  • You can Stop and re-invite the bot as many times as needed during the meeting. Each time the bot is admitted then a separate recording is created

  • To stop the recording, you click 'Stop' from the side panel or you can remove the bot from the participants list

Other rules...

  • If Auto-Join is enabled for the meeting - the bot will join as a guest 1 minute before the scheduled start time

  • For Teams and Google meetings, the bot must be admitted to the call. This will start the recording process

  • The bot can only record for a maximum of 2 hours - if your meeting is longer you must re-admit another bot which will create a separate recording

  • If the bot has not been admitted, then it will automatically leave the meeting 15 minutes after the scheduled start time. Means if you start your meeting 20 minutes late then the bot will no longer be available and you must manually invite

Post Meeting:

Where is the recording saved?

  • The recording will automatically save to your companies Unique account and the meeting organiser will become the owner of the recording

Who can assign the recording to a room?

  • All meeting participants from your company will be able to assign the recording to a room

Who will receive the two email notifications (Video is ready, Transcript is ready)

  • All meeting participants from your company will receive these emails
